Gathering data

Website uw.edu.pl stores http queries sent to our server. Resources are identified through URL addresses. The following information is stored in our www server log files:

  • Public IP address of the computer that sends the query to our server,
  • Number of bytes sent by our server,
  • Information about web browser used by the user,
  • Information when data have been sent from the server to the user.

The above information does not include data related to user’s identity, but when associated with other information it may constitute personal data. Therefore, the administrator guarantees its full security as per General Data Protection Regulations.

Data utilization

All gathered logs are stored for an undefined period of time as auxiliary resources used for website administration. Information contained in the logs is disclosed only to website administrators. For site administration purposes, statistics can be generated based on the logs.

One can reach out to Inspector for Personal Data Protection in all matters related to processing of your personal data by the University of Warsaw and exercising your rights related to personal data processing.

Purpose and basis for personal data processing

We will process your personal data in order to:

  • maintain communication with you via email or by phone, if you start communicating to the University of Warsaw using one of these channels – Article 6 (1)(c) of GDPR (Regulation EU 2016/679 of the European Parliament and the Council of 27 April 2016 on protection of natural persons with regards to personal data processing and on free transfer of such personal data) and on repeal of directive 95/46/WE – general directive on data protection, Official Journal of the European Union 119 of 04 May 2016, page 1, as amended). Data processing is necessary to be compliant with legal requirement imposed on the administrator (this legal requirement arises in particular from Act on Higher Education and Science from 20 July 2018, Telecommunications Act from from 16 July 2016, Act on Informatization of Entities Performing Public Services;
  • improving quality of services – Administrator processes statistical information related to website usage – Article 6 (1) (f) GDPR (legally justified necessity on the side of the Administrator consisting in increasing accessibility of the website, improving quality and functionalities of the services provided);
  • distributing newsletter – Article 6 (1)(a) GDPR (based on the consent of the person, which the data is related to);
  • adding to mailing list for media – Article 6 (1)(a) GDPR (based on the consent granted by the person, which the data is related to).

You can revoke your consent for processing of your personal data at any given moment by sending email to the following mailbox: redakcja.www@uw.edu.pl.

We would like to remind that revoking consent for processing one’s personal data does not render as non-compliant the data processing which has already taken place based on initially granted consent.

We can also process your personal data for the purpose of performing task in line with the public interest (Article 6 (1)(e) GDPR), and in certain cases we will process your personal data for the purposes arising from the legally justified interests realized by the Administrator (Article 6 (1)(f) GDPR).

Personal Data Recipients

Access to your personal data is granted only to authorized employees and partners of the University of Warsaw, which must process your personal data with regards to a performed task.

Data recipients may also include entities, to which the Administrator commissions performing certain activities, which involve personal data processing.

In order to secure relevant data protection in such situation, entrustment agreement of personal data processing has been signed with the said data recipients.

Personal Data Retention Period

We will process your personal data until completion of a goal, for the purpose of which the data was collected, and, subsequently, in cases where data retention period is determined by the Act on National Archival Resource and Archives from 14 July 1983 (Journal of Laws of 2018, item 217 as amended) and Telecommunications Act.

Data Processing Rights

We guarantee execution of all your data processing rights arising from GDPR, that is:

  • right to access to your personal data and to obtain a copy of your personal data;
  • right to amend (correct) your personal data;
  • right to restrict processing personal data;
  • right to erasure of personal data (with caveat of Article 17 (3) GDPR);
  • right to submit a complaint to the Polish Data Protection Commissioner, in case you consider that the personal data processing performed by the administrator violates personal data protection regulations.

Obligation to provide personal data and the consequences in case of failure to provide personal data

Providing data, which is processed with regards to performing legally imposed tasks is mandatory. In case personal data processing based on the individual’s consent to process personal data, providing one’s personal data is voluntary. Failure to provide personal data may render realization of the above-mentioned goals difficult or non-feasible.

Privacy policy can be supplemented or revised according to Administrator’s necessity to remain able to provide up-to-date and reliable information to users regarding their personal data and information about themselves. All changes to the privacy policy are listed on this site.
